Application Guidelines

 Incomplete Applications
Applications that are incomplete will not be processed. If you have not toured the property in person or through a virtual tour, your application will be on hold until you do so. Military applicants must include a copy of their current orders and Leave and Earnings Statement (LES) with their application. Self-employed applicants need to submit their two most recent federal tax returns (pages 1 and 2 only). A copy of your driver's license, state ID, or passport is also required once your application has been accepted. To expedite income verification, you may provide three months of recent pay stubs, bank statements, or other documents confirming additional income (e.g., rental income, retirement pay). Applications are not processed on a first-come, first-served basis but rather based on the suitability of the applicant for the property.

 Application Process
When you submit an application, you can specify your preferred move-in date and lease term.
Each application will be assessed as follows:

  1. Criteria Evaluation: We will review the information provided to ensure it meets our rental criteria. If it does not, the application will be declined.

  2. Verification: We will check your credit report and/or verify your employment and rental history. If any of these checks fail to meet our criteria, your application will be declined.

  3. Approval Timeframe: All applicants in a group are considered together; if one applicant fails to meet the credit requirements, the entire group's application will be declined.

  4. Notification: If declined, you will receive written notification via email with the reasons for the decision. You may request reconsideration with additional conditions, such as a higher security deposit. The property will remain on the market until a lease is signed and move-in funds are paid.

 Lease Signing
Once approved, you have 48 hours to complete the lease signing and payment. Failure to do so may lead to other applicants being considered. Once you have been offered the property, you must pay the security deposit with a cashier's check/money order. Upon moving in you will be responsible to pay for your first months rent via a cashiers check/money order. If the lease starts on a date other than the 1st of the month, the prorated rent for the move-in month will be due on the 1st of the month.

 Lease Provisions
Copies of the rental agreement and any relevant addenda are available for review upon request. The rental agreement may include specific instructions for property maintenance or equipment care, which must be reviewed before application as they will be part of the lease. The application fee must be paid before processing.

 

Rental Criteria

 Income and Employment

  • Gross monthly income must be at least three times the monthly rent. Total monthly debt payments plus rent should not exceed 45% of gross monthly income.

  • You must have at least two years with your current employer at the same income level or three years in the same field with minimal job changes.

  • Self-employed individuals or those with commission-based income must show consistent income over the past three years and may need to provide certified tax returns and bank statements.

  • Military members cannot sign a lease longer than their enlistment term or current duty station length.

  • If you were a full-time student before your application, a guarantor may be required unless you hold an advanced degree or professional designation and have full-time employment.

 Rental History and Credit

  • A minimum of two years of rental or mortgage history is required, with proposed rent not exceeding 35% more than prior rent.

  • Your credit report must be clear of derogatory rental information and judgments from previous landlords.

  • No more than one late rent payment in the past two years is allowed, and no payment should be more than five days late.

  • You must have adhered to previous lease terms and not had more than 25% of your security deposit deducted for damages.

 Credit

  • An active checking account is required.

  • A credit report will be obtained, and you must have at least two accounts open for at least two years with timely payments.

  • No unpaid judgments or collection accounts are permitted, and no more than two paid judgments or collection accounts within the past 24 months. Small medical judgments or student loans may be considered if offset by favorable credit references.

  • No more than two late payments (30+ days past due) on any installment loan or credit card in the past year.

 Payment Information

All fees, rent, and deposits before the lease start date must be in certified funds or paid online within 24 hours of signing. A non-refundable $40 application fee per applicant is required. Each person over 18 residing in the property must apply online. Cash will not be accepted.

 Document Submission

Please provide three months of pay stubs and complete bank statements with your application. If you cannot upload them via AppFolio, email them to heartandhomeproperty@gmail.com.
